ABOUT THE ROLE

inTouch Multicultural Centre Against Family Violence (inTouch) has an exciting opportunity an Executive Assistant to provide comprehensive administrative and operational support to the CEO. You will ensure the Executive Team are efficiently and effectively supported in their delivery of organisation initiatives and provide quality and timely assistance in managing schedules and requirements of the Executive office.

In this role, your key focus area will be:

Executive support

  • Provide proactive inbox and diary management, travel coordination, and administrative support for the CEO.
  • Prepare, coordinate, and facilitate key meetings, ensuring agendas, minutes, and follow-up actions are completed to a high standard.
  • Draft and manage internal and external communications on behalf of the CEO Office.

Stakeholder and office management:

  • Act as a key liaison with internal and external stakeholders, including the Board, Executive Team, staff and government entities.
  • Support broader office operations, including onboarding, general administration and providing reciprocal backup support with the Administration Lead.
  • Provide high-level support for board and committee operations, including preparation of papers, minute taking, and event coordination.

Strategic and project support

  • Coordinate with external marketing and communications providers to support aligned, high-quality campaigns and messaging.
  • Collaborate on strategic initiatives and special projects, ensuring milestones and outcomes are achieved.

ABOUT THE SUCCESSFUL APPLICANT

Essential

  • At least 5+ years as an EA.
  • A proven track record of supporting senior leaders within either a corporate or Non-for-Profit environment Your ability to work to tight deadlines in a fast-paced environment.
  • Exceptional and standout administrative acumen and delivery.
  • Excellent communication skills with a positive and professional presence.
  • Ability to work independently under pressure while managing multiple priorities.
  • Strong organisational skills with attention to detail.
  • Board experience and advanced MS Office skills.
  • Ability to ‘read the room’ and act with sensitivity and intuition to make things happen.
  • Proficiency across other online collaboration tools e.g.; Board Platforms, Teams.

Desirable

  • Experience in the Family and Domestic Violence sector or similar social services non-for-profit organisation will be highly regarded.
  • Ability to speak a language in addition to English.
