Executive Officer to CEO

The Executive Assistant provides comprehensive, operational and administrative support to the CEO, ensuring the efficient and effective operation of the Executive Team in supporting the business strategy and delivery of key initiatives. This includes providing quality and timely support in managing schedules and the day to day requirements of the Executive office.

ABOUT THE ORGANISATION

inTouch Multicultural Centre Against Family Violence (inTouch) provides person-centred, integrated and culturally responsive family violence services to people from migrant and refugee communities across Victoria. We have assisted over 20,000 women and children experiencing family violence throughout our 39 years of operation, providing a holistic service that centres the experiences of victim-survivors in everything we do.

inTouch works across the family violence continuum, providing culturally informed early intervention, case management, programs for men who use violence, legal advice, crisis recovery and enhanced capacity-building across the sector and community. We are proud to provide high-level leadership and guidance to all levels of government with our evidence-based, victim-survivor informed advocacy and policy work.

We are a unique and vital service, with specialist expertise working with people of migrant and refugee
backgrounds. This is reflected in our workforce, which is comprised primarily of people who are migrants
and refugees themselves – the inTouch team is from over 20 different countries and communities globally.

ABOUT THE SUCCESSFUL APPLICANT

The CEO has a strong vision, high standards and clear goals. With a warm, authentic communication style and down-to-earth demeanour, she is in high demand and has many commitments. This role needs a pro-active, highly organised senior Executive Assistant who can prioritise the CEO’s time, be the conduit between a large range of stakeholders and the Board, and forward plan to keep the CEO on track. With oversight of the operational and administrative support for the Executive office, responsibilities will include:

  • High-level inbox and diary management for the CEO.
  • Facilitation, preparation and minute taking for meetings.
  • Coordination of Board and Committee meetings.
  • Collate and prepare Board Papers.
  • Distribute minutes using Diligent software.
  • Coordination of CEO communications and general office operations.
  • Organise meetings led by the CEO, handling agenda, minutes and actions.
  • Liaison with internal and external stakeholders.
  • Prepare and edit of confidential documents, reports and presentations.
  • Book travel and accommodation, as required.
  • Screen and prioritise incoming calls and emails.
  • Manage general office operations including IT for new starters.
  • Maintain files, records, and documentation with confidentiality.
  • Collaborate with the CEO/Executive Team on special projects.
  • Board experience and advanced MS Office essential.

This is a fast-paced, integral role where you’ll be relied on heavily for your pro-active support, attention to detail and follow-up. A proven track record of supporting senior leaders within either a corporate or NFP environment is essential, we are looking for a strong and energetic communicator who can ‘read the room’ and be relied on to make things happen and get things done.
